- Frequently asked questions
- Screening runs in seven steps: collect, parse, standardise, match, score, fill gaps, review.
- Matching on meaning beats exact keywords. In a Harvard Business School and Accenture study, 88% of employers said their systems screened out qualified high-skilled candidates for not matching exact criteria.
- For BPO and other volume roles, the deciding facts (shift, spoken language, joining date) are rarely on the CV, so the screening questions matter as much as the CV score.
- Check it each week: compare a sample of AI rejections with what a recruiter would decide.
What is AI resume screening?
It is software that does the first read of every application for you. Instead of a recruiter opening hundreds of CVs, the system reads each one, checks it against what the role needs and ranks the applicants with a short explanation. The recruiter's job moves from reading every CV to checking the top of the list and the reasons behind it. AI resume screening in Hirin.ai also runs the first conversation with each applicant over WhatsApp or an AI voice call.
How does AI resume screening work, step by step?
- Collect. Applications arrive from job boards such as Naukri and LinkedIn, referrals, the careers page and walk-in forms, and land in one place with duplicates merged.
- Parse. The system reads the file (PDF, Word or a scanned image) and pulls out structured fields: contact details, employers, job titles, dates, education, skills, location and anything stated about notice period or salary.
- Standardise. Titles and skills are mapped to common terms ("CSE", "customer care associate" and "call centre agent" become one role family), dates become years of experience, and locations are matched to your hiring cities.
- Match. Each profile is compared with criteria written from the job description, split into must-haves and nice-to-haves. Modern tools match on meaning, so "handled 80 inbound calls a day" counts as call-handling experience even without that phrase.
- Score. Each candidate gets a score with the reasons: which must-haves are met, which are missing and which are unclear.
- Fill the gaps. Facts the CV doesn't show are asked directly: notice period, current and expected CTC, shift and location preference, spoken language. In Hirin.ai this happens on WhatsApp or an AI voice call, and the answers feed the score.
- Review. A recruiter checks the ranked shortlist, reads the reasons and decides who moves forward. Nobody is rejected without a person able to see why.
Parsing is where most errors start. For how CV parsers read Indian CV formats and how to check their accuracy, see what is resume parsing.
Keyword filters or AI matching: what's the difference?
| Keyword filter (classic ATS) | AI matching | |
|---|---|---|
| How it decides | Does the CV contain the exact words? | Does the experience mean the same thing as the requirement? |
| Synonyms and Indian job titles | Missed unless listed by hand | Mapped to the same skill or role family |
| Output | Pass or fail | Score with reasons, and gaps to ask about |
| Typical failure | Rejects good candidates who phrase things differently | Can over-trust a polished or AI-written CV; needs checks |
Rigid filters are a known problem. In the "Hidden Workers" study by Harvard Business School and Accenture (2021), 88% of employers said qualified high-skilled candidates were screened out because they didn't match the exact criteria in the job description, and 94% said the same for middle-skilled candidates. Matching on meaning, with must-haves kept short, is the fix.
What does AI resume screening look like for a BPO voice role?
Take an illustrative role: Customer Support Executive, inbound voice, English and Hindi, rotational shifts, Noida. The criteria below are an example to adapt, not a Hirin template.
| Criterion | Type | Usually on the CV? | How it gets checked |
|---|---|---|---|
| 12th pass or graduate | Must-have | Yes | Parsed from education |
| Within commuting distance of Noida, or willing to relocate | Must-have | Sometimes | Parsed location, then confirmed on WhatsApp |
| Comfortable with rotational and night shifts | Must-have | Rarely | Screening question |
| Spoken English and Hindi at the level the process needs | Must-have | Claimed, not proven | AI voice call or spoken answers, scored against a stated standard |
| Can join within 15 days | Must-have | Rarely | Screening question on notice period |
| Prior inbound voice or customer service experience | Nice-to-have | Yes, in many forms | Matched on meaning from job history |
| Expected CTC within the band | Nice-to-have | Rarely | Screening question |
Only two of the seven criteria can be settled from the CV alone. That is why, for voice processes, CV scoring on its own ranks applicants badly, and why the screening conversation carries so much weight. What can go wrong with AI resume screening?
- Parsing errors. Two-column designs, tables, photos and scanned CVs can scramble fields. A wrong date can turn five years' experience into one.
- Proxies for bias. College names, employment gaps, age or home address can stand in for things you must not screen on. Leave them out of the criteria unless the job truly needs them.
- Too many must-haves. Every extra hard requirement removes people who could do the job. Keep must-haves to what a new hire needs on day one.
- Polished but empty CVs. AI-written CVs can match the job description closely. Screening questions and a skill check catch what the CV hides.
- Candidate trust. In Pew Research Center's 2023 survey, 41% of US adults opposed AI reviewing job applications. Tell applicants how screening works and that a person makes the decision.
How do you check that AI screening is working?
- Run it side by side first. For one role, have a recruiter shortlist 50 CVs without seeing the AI scores, then compare the two lists and read the disagreements.
- Sample rejections weekly. Read 10 to 20 low-scored applicants each week. If good people keep appearing, fix the criteria.
- Follow candidates downstream. Track interview pass rate, offers, joining and 90-day retention for AI-shortlisted candidates, by role.
- Watch pass rates across groups you can lawfully monitor, such as gender or location, and investigate large gaps.
More on AI screening for BPO hiring
How does AI screening cut BPO hiring time?
AI screening cuts BPO hiring time by removing the calling bottleneck. Instead of recruiters dialling every applicant and team leads running communication checks one by one, an AI voice call screens each applicant the day they apply: notice, shift and commute questions, a listening test, a read-aloud and a short customer role play. Recruiters review recordings near the pass mark and fill the batch from a ranked list.
Frequently asked questions
Is AI resume screening the same as an ATS?
No. An applicant tracking system stores applications and moves candidates through stages; many only filter on keywords. AI resume screening reads and scores each CV against the role and explains the score. It usually works alongside your ATS and writes results back to it.
Can AI resume screening read Indian CV formats?
Good parsers handle PDFs, Word files and scanned CVs, and map Indian job titles, CTC in lakhs and notice periods. Test it on a batch of your own CVs before trusting it, especially designed or scanned ones.
Does AI resume screening remove bias?
Not by itself. It applies the same criteria to every applicant, which helps consistency, but biased criteria or training data produce biased results faster. Keep criteria job-related, leave out proxies such as college names, and review samples of rejections.
Does AI reject candidates automatically?
It can, but it shouldn't decide alone. In Hirin.ai, scores and reasons go to a recruiter, who makes the decision.
The seven steps describe how AI resume screening tools work in general and how Hirin.ai's AI screening works as of October 2026. The BPO criteria table is an illustrative example. Research figures were checked against their sources on 12 October 2026; they are not Hirin results.
